Using the service for lawful business purposes


4. Description of Services

CallConciergeHQ provides:

Automated call answering

Call transcription and summarisation

Lead intake and booking services

We may improve, update, or modify features without prior notice.


5. Client Responsibilities

By using our services, you agree to:

Provide accurate business information

Obtain necessary permissions for call handling

Inform your customers if legally required (regarding AI call handling)

Comply with your local laws and industry regulations

Not misuse, manipulate, or exploit the system

You are responsible for maintaining the security of your integrations, API keys, and logins

6. AI Call Handling & Automated Processing

You acknowledge that:

Calls may be answered by an AI system

Responses are generated algorithmically

AI decisions may influence message routing or booking actions

Transcriptions and recordings may be processed to enhance service quality

We do not guarantee human-level accuracy in:

Transcriptions

Sentiment understanding

Decision-making

Interpretation of user intent

You accept responsibility for reviewing important information processed by the AI.


7. Call Recording & Legal Compliance

Your use of CallConciergeHQ constitutes consent to:

Call recording where legally permitted

Storage of transcripts and call metadata

Processing by third-party providers such as OpenAI, Twilio, and GoHighLevel

You, the client, are responsible for knowing local call recording laws, such as:

One-party consent

Two-party consent

Business disclosure requirements

CallConciergeHQ is not liable for compliance breaches related to your call handling practices.


8. Payment Terms

All payments are handled securely through Stripe

Subscription fees may recur monthly or annually

Fees are non-refundable unless otherwise stated

Failure to pay will result in service suspension

We may update pricing with notice.

9. Free Trial & Automatic Billing

Call Concierge HQ may offer a free trial period to allow businesses to evaluate our services.

A valid payment method is required to start a free trial.

Unless cancelled before the end of the free trial period, your subscription will automatically convert to a paid monthly plan on day 22, and your payment method on file will be charged the applicable recurring fee.

By starting a free trial, you expressly authorize Call Concierge HQ to store your payment details and charge your payment method automatically at the end of the trial period unless cancelled beforehand.

10. Cancellation Policy

You may cancel your free trial at any time before the end of the trial period to avoid being charged.

Cancellations may be submitted via email, phone call, or other reasonable communication methods provided during onboarding.

It is the customer’s responsibility to ensure cancellation is received and confirmed before the trial end date.

Failure to cancel before day 22 constitutes acceptance of the paid subscription.

11. Billing & NO Refund Policy

All paid subscriptions are billed on a flat monthly basis unless otherwise stated in writing.

Once a free trial converts to a paid subscription, all charges are non-refundable, including partial months, unused services, or early termination, except where required by law.

12. Results Disclaimer

Call Concierge HQ provides AI-powered call handling, follow-up, and revenue recovery systems designed to reduce missed opportunities and improve operational efficiency.

We do not guarantee specific financial outcomes, revenue increases, or business performance.

Results vary based on call volume, sales processes, pricing, market conditions, and internal operations.

13. Cancellation & Termination

You may cancel anytime by contacting support or using the customer portal.

We reserve the right to terminate services immediately if:

You breach these Terms

You abuse the service

You engage in fraudulent or illegal activity

Your business poses compliance risks

Upon termination, access to recordings, transcripts, and AI agents may be revoked.

Trial Abuse & Service Limitations

We reserve the right to limit, suspend, or terminate any free trial at our discretion if we detect misuse, abuse, excessive usage, or attempts to avoid payment.


14. Data Use & Privacy

Your privacy is protected under our Privacy Policy, which forms part of these Terms.

By using our services, you consent to:

Processing of voice data, transcripts, and metadata

Use of anonymised data to improve service performance

Data storage with secure third-party providers

16. Service Availability

17. Limitations of Liability
